The KELL Stewardship smartpack allows you to have a central place to keep track of your communication with constituents, beyond just the opportunity record. Organizations who receive donations in honor/memory of other individuals and have to keep track of notifications on such gifts will appreciate having one central object to report and track these communications.
Many organizations use fields on the opportunity indicate who should be the honoree/notification recipient - but what happens if there are multiple honorees or multiple people who should be notified? How do you make sure that the right person is getting the right printed acknowledgment? With the Stewardship Smartpack, you have one central place to see every opportunity-related interaction with a constituent in one place, regardless of whether or not they were the donor.
Control which opportunities will get automatic stewardship records
Good stewardship means communicating with your donors, so we automatically create a donor Steward record for every opportunity. To minimize data storage challenges, we allow you to select opportunity record types or types that shouldn't get automatic contact-related stewardship records. For example, if you have a record type for earned income or event registrations, you might want to exclude those types of opportunities from automatic stewardship.
When you know you have the potential to receive multiple donations in honor of someone, you can pre-create a Tribute template that can very quickly be applied to opportunities. This minimizes data entry and helps with data validation if a donor is not aware of a notification recipient's address. Record the information once in a Tribute record and easily apply it to multiple gifts.
You can set up a Tribute record that is in honor of someone or in memory, setting exactly which contact should be notified in either case.
When setting up the Tribute record you can decide whether or not that contact should automatically receive soft credit on gifts. You can also set the contact's relationship to the Honoree. This is editable.
We provide a number of fields on the Opportunity for recording Tribute information as provided by the donor, and then easily connecting that information to contact records and Tributes.
Creating or finding contact records to reconcile with the information provided by the donor is easier with buttons directly on the record.
On each opportunity, you'll find stewardship records. At least one for the donor (unless you set it so the stewardship is not automatically created). This shows you exactly whom you need to communicate with regarding this gift and the status of that communication.
The Stewardship record contains everything you should need for your acknowledgment process. You can create formula fields to pull in additional information from the Opportunity or Tribute should you need it.
You can also record status and date of communication with the constituent.
Directly from the Stewardship list on the opportunity, you can quickly add additional contacts to communicate regarding the gift, regardless if they appear directly on the opportunity record detail or not.
