Canadian Receipting Features Overview
What does the Canadian Receipting SmartPack do?
KELL's Canadian Receipting SmartPack generates CRA-compliant tax receipts and aids the delivery of those reciepts. It is intended to allow administrators to control a great deal of the receipt templating and eligibility criteria out of the box, and to automate tax receipting as much or as little as your organization feels comfortable with.
The SmartPack's features can be grouped into 3 main areas:
- Track which gift records are eligible for reciepts and have already been receipted, generate receipt records for eligible gifts, and void and generate replacement receipts as needed.
- Generate receipt PDFs based on customizable receipt templates and assign different templates based on gift or donor attributes.
- Email receipt PDFs to donors and create printable batches of receipt PDFs for delivery by mail.
In all three areas, the Canadian Receipting SmartPack is designed to work with single gift receipts (1 gift = 1 receipt) as well as consolidated gift receipts (multiple gifts = 1 receipt). When creating consolidated receipts, administrators can designate whether to consolidate gifts around a common 'parent' record (eg. create a consolidated receipt for all opportunity records that are part of a recurring gift) or to consolidate gifts by completely custom criteria (eg. create a consolidated receipt for each campaign that a donor has given to this year that includes all gifts in that campaign).
Additionally, the Canadian Receipting SmartPack can work with any Salesforce object serving as a gift record. Out of the box, the SmartPack is configured to work with the standard Opportunity object, and extension packages allow the SmartPack to work with NPSP objects (Payment and Recurring Donation) or Click & Pledge objects (C&P Transaction, C&P Recurring). Additional objects can be configured, but may require some custom development.
1. Generating receipt records and receipt eligibility
Most organizations have their own interpretation as to what dollar amount constitutes a "significant" gift and therefore qualifies for an official tax receipt. Additionally, most organizations have gift records in their Salesforce instance that are not eligible for an official tax receipt. The Canadian Receipting SmartPack allows administrators to set the SmartPack criteria for which gift records are eligible for receipts according to their specific Salesforce configuration.
Additionally, the SmartPack allows administrators to set up periodic and near-realtime automatic generation of tax receipts for eligible gifts. Automatic receipt generation can be all-inclusive or only for a subset of eligible receipts, allowing organizations the necessary control over exactly when receipts are generated for eligible gifts and how much internal review or oversight is needed when generating receipts.
2. Creating and assigning receipt templates
The receipt PDFs generated by the Canadian Receipting SmartPack are built using Visualforce (a Salesforce-specific markup language similar to HTML) and customizable labels and images. Out of the box, the SmartPack contains 4 templates that can be customized with an organization's logos, signature images, and custom labels to better match existing templates and/or provide bi-lingual support in receipt templates. Additionally, custom Visualforce templates pages can be added to give finer control over the placement of the template components on the final PDF.
Additionally, the SmartPack allows for conditional assignment of receipt templates and receipt numbering stacks based on gift or criteria. This allows organizations to maintain multiple customized templates and apply them as needed. Some organizations use this feature to generate acknowledgement letters or other PDFs that are not official CRA receipts using the same templating and tracking functionality as official receipts.
3. Email or mail delivery of receipts
The SmartPack uses native Salesforce email templates to deliver receipt PDFs to donors via email. The email templates for these email deliveries are dynamically assigned along with the PDF template using the same rules as in (2) above. A record of the email sent is saved to both the receipt and the donor's record in Salesforce and the receipt is marked as having been delivered via email. Administrators can set up rules to determine which receipts are emailed based on a donor or gift field.
Additionally, the SmartPack allows users to bundle a group of receipts together into a single PDF for printing and delivery by physical mail. Any receipt that is bundled into a 'print batch' using this functionality is marked as having been included in a batch so that users can quickly determine which receipts have been delivered and which have not.
To make a print batch select the receipts you want to batch then click the "Create a PDF Batch". The merged PDF file will be created and linked in the Files > Owned by Me section for disbursement.
